venue hire
There are several locations in Downing College which you can hire. To arrange any room hire, you need to contact the Conference Office (located in E staircase).
You should complete the Room Booking Form.
Room Hire
Room Hire is free to members of College. If you are booking for a University Society, please refer to the Internal Event Charges
If you require a buffet the options are from the Internal Buffet Menu
Parties
If you wish to hold a party in Downing, you need to complete a Party Booking Form at least one week beforehand. This must be signed by:
- Dean
- Domus Bursar
- Head Porter
- Maintenance Manager

- Catering Manager
- JCR President
- Conference Manager

Parties held in College must usually end at midnight.
Safety First!
- Please remember that all equipment used in a public room in Downing College must be certified as PAT tested. If it doesn't come with a certificate then this testing can be arranged through the Maintenance Department at cost. All College equipment will already have this.
- All decorations must be made from fire-retardant material (if it ignites with a naked flame you won't be able to use it).
- Employee Liability Insurance: The College Insurance covers employees & students of the College. If sub-contracted services are used (i.e. bands, discos etc.) and they are not Sole Traders or Partnerships then they must hold Employee Liability Insurance. A copy of this must be provided to the Conference Office prior to the event.
- You are strongly advised to obtain Public Liability Insurance.

Suitable for: private parties (90). For hire by Downing Members only.
hall
Suitable for: drinks receptions (250), dinners (150), parties (200), performances (120).

The Hall is the largest venue in College and suits a variety of different events, be it a dinner with Cabaret or a full dancefloor.

Suitable for: drinks receptions (130), buffets (100), performances (160). For parties (350) by the JCR/MCR only.

The ground floor is a reception area, featuring marble columns, a covered terrace and a full bar.

Upstairs in the Howard Building is a theatre. The balcony can also be used.

west lodge & maitland room
Suitable for: drinks receptions (100), dinners (50).

The Maitland Room can extend the intiamte West Lodge into a 50-seater dining room. The West Lodge is also suited to drinks receptions.
